A week in the life of the Office Manager Associate:

• Greet visitors and direct customers, guests, clients, or vendors upon arrival at the facility.
• Control access of visitors, vendors, contractors and employees.
• Support the operations of a government-owned/contractor-operated facility in Northern Virginia hosting customers to test a suite of Electronic Healthcare Record systems.
• Ensure visitors sign in and out and notifying staff of guest arrivals.
• Support primary work hours of 7am – 4pm Monday through Friday.
• Support scheduling of visitor reservations and use of capabilities in the facility through Jira ticketing software.   
• Act as customer facing company representative for the organization.
• Write reports of daily activities and irregularities, such as equipment or property damage, theft, presence of unauthorized persons, or unusual occurrences.
• Escort cleared and uncleared personnel throughout the facility.
• Work rotating shifts on a limited basis, and possible weekend support on a very limited basis.
• Monitor inventory of office supplies and order new stock as needed.
• Assist with various administrative tasks such as filing, data entry, and maintaining records.
• Prepare welcome packets or informational brochures for visitors.
• Ensure the facility retains the ability to support DoD Electronic Healthcare Record testing events.

• Job Requirements

  • U.S. Citizenship and ability to obtain a Secret clearance
  • Onsite presence M-F at facility in Chantilly, VA
  • Minimum 2-4 years of experience with a BS/BA preferred. 
  • Ability to track multiple processes and facility-related tasks.
  • Highly motivated self-starter individual.
  • Experience with Microsoft tools (i.e. Outlook, Excel, MS Word, PowerPoint).
  • Outstanding organizational and coordination abilities.

  Required Skills

  • Ability to prioritize and manage tasks in order to accomplish goals on a given timeline.
  • Ability to interpret, communicate, and apply operational and security procedures; ability to propose improvements to same.
  • Excellent communications skills, including interacting with DoD customers, facility users, and facility support contractors.

Actual compensation will be determined based on several factors permitted by law.
