Overview

Responsibilities

As Chief Executive Support (Acquisition), you can expect to:

  • Oversee general office operations, including reception, administrative support, copy editing, classified material handling (up to TS/SCI), and SCIF management.
  • Prepare presentations and management-level reports.
  • Manage staff calendars, coordinate appointments, and schedule meetings.
  • Arrange domestic and international travel, including flights, lodging, and transportation.
  • Support personnel onboarding by facilitating CAC access, laptop issuance, and security in-briefs.
  • Maintain program records, including command history, program-level actions, deadlines, routings, and follow-ups (“go backs”).
  • Ensure continuity, consistency, quality, configuration control, and proper filing of official program briefings and correspondence.
  • Maintain PM/DPM schedules, including retirements and social events.
  • Manage awards routing (military and civilian), FITREPs, and CNET cards.
  • Monitor and replenish office supplies, including front-office materials and copier paper.
  • Provide training and support for personnel programs, credit card processes, and standardized correspondence templates.

Qualifications

  • Active DoD Top-Secret clearance w/SCI eligibility
  • Bachelor's degree and 8-11 years related work experience providing high-level administrative support in federal environments
  • Proven ability to build trust with senior executives while exercising discretion
  • Demonstrated expertise in handling classified and sensitive communications
  • Skilled at managing competing priorities for multiple senior leaders
  • Strong capability in coordinating complex calendars and secure travel
  • Deep knowledge of federal protocols and DoD organizational structures
  • Proven experience drafting executive correspondence and talking points
  • Adept at anticipating needs and resolving issues proactively
  • Known for staying composed and decisive under pressure
  • Technically proficient in Microsoft Office, SharePoint, Adobe products, and secure scheduling tools

NOTE: This position is 100% on-site at Joint Base Anacostia-Bolling (JBAB), DC.

Pay Transparency Statement

AMERICAN SYSTEMS is committed to pay transparency for our applicants and employee-owners. The salary range for this position is USD $107,800.00/Yr. - USD $180,100.00/Yr. Actual compensation will be determined based on several factors permitted by law.
